Job Description - Church Administrative Assistant

Mandeville’s First Baptist Church is seeking an Administrative Assistant for a very active church office, multi-staff setting.

Hours: 8:30 - 4:00 Monday - Thursday, 8:30 - 3:00 Friday

Positional Status: Full-time hourly employee

Purpose: The Church Administrative Assistant provides a variety of clerical support services for the pastoral staff with special attention given to church publications.

Overview:

  • Must be pleasant, discreet, tactful, and capable of honoring confidential communications.
  • Must be able to deal with various types of personalities, both on the phone and in person, in a professional manner.
  • Must have general knowledge of office equipment, supplies, and computer software, and a willingness to further their training as needed.
  • Must possess good oral / telephone and written communication skills.
  • Must show a willing attitude of Christian service to their position and its responsibility.

Responsibilities:

  • Maintain an orderly, efficient work facility that is attractive and comfortable for staff and visitors, and that is conducive for smooth flow of information.
  • Perform general office work under the supervision of the Senior Pastor and pastoral staff.
  • Provide clerical and secretarial support for pastoral staff.
  • Keep church staff informed of member’s needs such as deaths, illness, and other crises.
  • Maintain the online church directory and mailing lists.
  • Answer the phone and screen calls for staff per their direction. Make outgoing calls.
  • Maintain supplies and various files, keep records and compile these into periodic or occasional reports. Accuracy and attention to detail is required.
  • File sermons, reports, correspondence, and other assigned materials.
  • Exercise courtesy and confidentiality in receiving callers, in person or by telephone.
  • Keep calendar of appointments and church facility usage. Answer questions and provide information concerning church functions and activities.
  • Type letters or other documents as needed.
  • Print, photocopy, assemble documents and in-house publications as requested.
  • Edit and prepare weekly bulletins and newsletter emails.
  • Process all incoming and outgoing mail.
  • Perform other duties as assigned by the Senior Pastor and pastoral staff.

Qualifications / Experience:

  • At least a high school diploma, some college preferred.
  • Experience with Microsoft Office, including Word, Excel, Powerpoint, and ability to work with graphics. Proficiency with Breeze CHMS a plus.
  • Excellent organizational and time management skills, ability to meet deadlines.
  • Good interpersonal skills for relating to pastoral staff, coworkers, extended staff, volunteers, church members, and the public.
