Job Summary:
As Ministry Admin Assistant, you will provide administrative support to Ministries, laity, pastors and staff as assigned. Your role will be vital in helping us share the Gospel with the West Cobb community. You'll also be part of a dedicated church staff and a vibrant body of believers who will value and appreciate the unique gifts God has given you to advance His Kingdom.
Essential Duties and Responsibilities:
- Report directly to the Seniors Pastors - yes, we have two!
- Do what's best for the mission of Macland Community Church at all times.
- Love Sunday, work a full Sunday and always do what’s best for the Sunday service.
- Be punctual for all meetings, Sunday services or anything that is on your schedule – as well as stay the full time.
- Greet visitors and church members on Sunday morning with a spirit of hospitality.
- A "make it happen" type of person to assist all MCC ministries.
- Complete tasks assigned to you by their deadline.
- Have a positive, worshipful, “whatever it takes” attitude.
- Be fully committed to your own personal and spiritual growth.
- Be organized, efficient, committed to time maximization, and able to manage your list of responsibilities.
- Work while you are at work (be focused, not working on personal tasks, gossiping, etc.).
- Add value to every task that you work on, every meeting you attend and every request made of you.
- Pray daily for the people who serve on your teams.
- Perform general tasks with the same passion and commitment as your specific Ministries tasks. This includes running errands and performing tasks in areas outside of your location that promote the success of the church as a whole.
- Meet with your supervisor at least twice a month to review your job duties, workload, and job performance. You must initiate these meetings.
- Perform administrative duties such as but not limited to; administration of Planning Center such as entering information of newcomers, scheduling events on calendar and general PCO administration, coordinate with staff on calendaring, attending and recording minutes of meetings, specifically, staff and church wide meetings, assisting in the planning and advertising special events, filing, creating and publishing/posting bulletins and meeting notes, manage phone calls, voice mails and email accounts, and general office organization and ensuring office supplies are kept in stock.
- Order supplies for the office, special events, etc as directed and approved by pastors and Finance Director.
- Create announcement slides for Sunday morning service and work with A/V team to implement accordingly. Oversight of this area will be managed by MCC Communications Manager. You and the Comms Manager will work closely together on these, but the Communications Manager has ultimate oversight in design and execution.
- Organize and keep public areas orderly and stocked with visitor cards, pledge cards, pens, etc., as needed.
- Support the ministry/ministries assigned, including pastors, staff, and laity.
- Manage visitor cards by inputting info into PCO and communicating with visitors after their first visit.
- Must be willing to be available during agreed upon working hours.
- Must be available to attend in-person staff meeting each Tuesday early afternoon. This is subject to modification of day and time based upon pastor schedules and holidays.
- Work Week Estimation:
- Sundays - 8:30 am till everything is completed (around 12:30 - 1 PM)
- Sundays: Sundays are “Game Day” and require a whatever it takes, how long do I need to be here attitude.
- Music Ministry rehearsal time: 8:30 am
- Current small group time: 9:00 am
- Current service time: 10:30 am
- Be available during and between services for whatever is needed and to greet visitors and parishioners before and after services.
- Tuesday - On- campus - 11 am - 4 pm (Staff mtg at 1 pm) or 10 am - 3 pm
- Wednesday - On-campus - 11 am - 4 pm or 10 am - 3 pm
- Thursday - On- campus - 11 am - 4 pm or 10 am - 3 pm
- Friday and Saturday - May be required to print some final items for Sunday events.
Required Skills and Abilities:
- Must be proficient with computer systems, in general. E.g., Microsoft Office, Google Drive Applications, and church calendar software tools.
- Some proficiency in email software tools like MailChimp and Planning Center.
- Some proficiency in Canva.
- Some proficiency in Propresenter.
- Able to professionally liaison with staff (paid and unpaid) within the church.
- Strong interpersonal skills, including the ability to listen and communicate effectively.
- Proven planning and organizational skills; must be a self-starter, highly motivated, strategic, flexible, efficient, and capable of following projects through to completion.
- Able to manage time effectively, problem solve and make decisions.
- Remaining flexible and positive in an environment with frequent and last-minute changes.
- Resolves conflicts quickly and with integrity.
- Openness to take on special projects or assignments.
- Embrace the Mission, Vision, Values and Strategy of the church.
Qualifications:
- Prefer a degree/professional certification in Office Administration or equivalent experience.
- Knowledge/experience in church administration.
