JOB OVERVIEW / OBJECTIVE

The Schertz Ministry Coordinator (SMC) exists to move the day-to-day ministry of Grace Bible Church’s Schertz campus forward — owning the administration, communication, coordination, and logistics that keep the campus running well, so the Campus Pastor is freed to shepherd and lead. This is not a passive support role. We are looking for someone who drives work to completion, anticipates needs before they are voiced, and takes initiative to strengthen how the campus operates — all under the leadership and direction of the Campus Pastor.


Every calendar kept, every volunteer equipped, and every Sunday prepared serves one purpose: making room for people to encounter Jesus at our Schertz campus. We are one church across our locations — one mission and one doctrine, faithfully executed in the Schertz context.


This full-time role comprises:

50% Administrative & Communication Support    

30% Ministry & Volunteer Coordination    

20% Sunday Service & Event Logistics

THE POSTURE WE’RE HIRING FOR

This role calls for three things beyond competence — they define who thrives in it:


Driver — Takes ownership and carries work to completion without being chased. Closes loops. The Campus Pastor should not have to follow up to find out whether something happened.


Anticipator — Sees what is coming and prepares for it. Handles needs before they are voiced and thinks two steps ahead of the calendar.


Initiator — Spots gaps and broken systems and brings solutions, not just problems. Improves how the campus works rather than waiting to be told.


And one guardrail that matters as much as the three: initiative under leadership, not around it. We are looking for a lead servant—someone who drives the right things, anticipates the campus pastor's actual priorities, and initiates in service of the mission. Proactive and submitted at the same time.


PRIMARY DUTIES & RESPONSIBILITIES

Administrative & Communication Support — own it

•   Own and maintain the master calendar for all campus activities, events, volunteer teams, and space usage — flagging conflicts before they collide.

•   Prepare agendas, capture notes, and drive follow-up tasks to completion after leadership meetings.

•   Serve as a dependable point of contact between the Campus Pastor, ministry leaders, and church staff.

•   Edit and format communication materials (weekly updates, reports, ministry documents) with clarity, accuracy, and consistent church branding.

•   Anticipate communication needs and prepare materials ahead of deadlines, not at them.


Ministry & Volunteer Coordination — anticipate it

•   Organize volunteer onboarding, scheduling, and appreciation across teams; keep rosters, lists, and Planning Center current.

•   Coordinate with staff and team leads so volunteers are equipped and informed before they have to ask.

•   Steward the relationship with campus and school-district staff, maintaining a positive, proactive partnership.

•   Track volunteer engagement and take initiative to strengthen communication and systems where they are weak.


Sunday Service & Event Logistics — get ahead of it

•   Prepare weekly materials for Sunday worship (signage, hospitality supplies, etc.) and confirm readiness before Sunday, not on it.

•   Coordinate Sunday logistics — volunteer check-ins and facility setup — with the operations team.

•   Provide planning and communication support for special events and seasonal initiatives, anticipating needs early.

•   Record and follow up on prayer requests, connect cards, baptisms, and next steps — so no one falls through the cracks.


MINIMUM QUALIFICATIONS

•   High School diploma required; Associate’s or Bachelor’s degree preferred.

•   Administrative or church staff experience preferred; full-time coordination or operations experience a plus.

•   Proficiency in Microsoft 365, Planning Center, and project-management tools.

•   Strong written and verbal communication skills.

•   Proven ability to own multiple priorities and drive them to completion with flexibility and follow-through.

•   Confidential, professional, and detail-oriented.
