Job Description

Summary

The reunion of the Diocese of Wisconsin has created new opportunities to serve 11,000 baptized members in 100 congregations, 100 active clergy, 25 congregational lay employees as well as a diocesan staff. A more dispersed diocesan structure provides opportunity for innovation. The diocese is home to an Episcopal Seminary, several organizations serving people in need of food and other types of basic assistance, and a well-established housing complex for seniors. There are several active relationships with companion dioceses and ministries across the globe. The Diocesan Administrator position will have an important role in developing ways to build and maintain relationships at all levels of the church.


The Diocesan Administrator is an executive level position working with the diocesan leadership team of the Bishop, the Canon to the Ordinary and the Chief Financial Officer. It includes administration, human resources, event management and property with a focus on networking and communicating collaboratively with diocesan staff, clergy and lay leaders. The Diocesan Administrator is responsible for overseeing, enacting and managing processes for effective administration to support the mission and ministry of the church, especially its congregations, clergy and lay leaders.


Responsibilities

Networking and Communication

  • Build relationships with diocesan staff to enhance connections for fulfilling other duties. Attend weekly check-ins virtually or occasionally in-person.
  • Make dedicated time to personally connect with clergy and lay leaders to support its congregations and ministries.
  • Establish and maintain connection with the broader church in areas of responsibility, especially the Church Pension Group and staff of The Episcopal Church.
  • Participate in events, workshops and trainings that directly impact the areas of responsibility. These may be secular or church based activities.

Administration

  • Advise and assist diocesan staff and entities in internal administrative processes. These may include management of Google Workspace (email, shared drives, calendars), IP phones, and vendor interaction.
  • Provide proactive consultative administrative assistance for clergy and lay leaders.
  • Manage diocesan insurance including property and casualty, medical and dental, disability, and group term life. This includes working with congregations.
  • Administer information technology, including hardware, software, and equipment. This includes digital file management.
  • Serve as meeting manager for Mission Council meetings and Ordination Officer. This includes working with the leadership team for agenda preparation and distribution of materials to members.
  • Seek out, apply and manage grants for submission, collaborating with other diocesan staff and clergy and lay leaders of the diocese. Fulfill grant reporting requirements, when received.

Human Resources

  • Provide human resources information for diocesan staff, clergy and lay leaders. This includes orientation for new hires in consultation with the leadership team and coordination with the Safe Church coordinator.
  • Be liaison with Church Pension Group to administer enrollment of clergy and lay employees for benefits and serving as the diocesan Recorder of Ordinations.
  • Provide educational and resource materials on benefits to clergy, lay employees and key church leaders, during an orientation process for new employees and annual enrollment, working with the Director of Communications.
  • Assist the leadership team on personnel policy issues involving compensation or benefits.


Event Management

  • Plan and manage diocesan events, including convention and clergy conferences.
  • Coordinate General Convention deputation arrangements.
  • Provide support and assistance to diocesan entities when scheduling or conducting meetings.


Property

  • Oversee management of diocesan properties including archives.
  • Coordinate activity with consultants and Diocesan Chancellor on legal property matters.


QUALIFICATIONS, EDUCATION and/or EXPERIENCE

  • Bachelor’s Degree or equivalent with 5-7 years of experience in administration or management.
  • Strong knowledge of the Episcopal Church or a willingness to learn.
  • Excellent verbal communication, written communication, and organizational skills.
  • Ability to be responsible for confidential and time sensitive material, work without supervision, and using independent judgment.
  • Initiative and ability to evolve the position to add value to the diocese and its parishes.
  • Valid driver’s license, access to transportation, and vehicle insurance to mandated state requirements


CONDITIONS & TERMS

  • Compensation commensurate with experience in the range of $80,000-$120,000.
  • Have access to a regional diocesan workspace, but the intention is that work will be remote from a home office with diocesan provided equipment.
  • Regular travel on an accountable, reimbursable basis.
  • Eligible for medical and dental insurance, pension, disability insurance, and group term life insurance.
  • Annual four (4) weeks of vacation, one (1) week of professional development leave (in addition to continuing education required to perform duties) and other benefits as provided under diocesan policy.
  • A relocation benefit is available.
