Reports directly to the Senior Pastor
Calvary Chapel Signal Hill is seeking a highly skilled Church Administrator to provide strong operational leadership across the church. This is a non-ordained administrative leadership position. It is not an assistant pastor or pastoral position. The Church Administrator reports directly to the Senior Pastor and is responsible for helping ensure that the church operates with clarity, consistency, accountability, and excellence.
SPIRITUAL REQUIREMENT
This is a foundational requirement. Every candidate must demonstrate a genuine, active relationship with the LORD, a life consistent with biblical character, and a sincere commitment to the mission and ministry of Calvary Chapel Signal Hill. The right candidate must understand that effective church administration is service to the LORD and to His people, not merely organizational management.
POSITION SUMMARY
The Church Administrator builds, strengthens, and enforces the systems that keep the church running effectively. This is a leadership role centered on structure, execution, accountability, communication, and follow-through. The administrator must understand what is happening across the organization, identify problems early, establish clear solutions, and make sure agreed-upon standards are consistently followed.
The Senior Pastor establishes ministry direction and priorities. The Church Administrator helps translate those priorities into organized action, coordinates execution across departments, and provides the Senior Pastor with clear and accurate visibility into operational matters that require attention.
MINIMUM REQUIREMENTS
• Bachelor’s degree in business administration, organizational leadership, ministry management, or a related field preferred. Relevant equivalent experience will be considered.
• 5 to 8 years of meaningful experience in operations, administration, organizational leadership, or a closely related field.
• Demonstrated experience managing systems, projects, departments, or teams.
• Working knowledge of budgeting, financial processes, administrative controls, and responsible stewardship.
• Proven ability to establish expectations, enforce standards, and follow through when expectations are not met.
• Strong written and verbal communication skills, sound judgment, discretion, and a clear leadership presence.
• Ability to organize multiple priorities, make timely decisions, and remain composed when problems arise.
• High level of integrity and the ability to handle sensitive ministry, personnel, and organizational information confidentially.
CORE RESPONSIBILITIES
• Oversee the day-to-day administrative and operational functions of the church.
• Develop, maintain, and improve systems, procedures, workflows, and standards that support effective ministry operations.
• Ensure established systems and procedures are understood, followed, and consistently enforced.
• Keep departments aligned with church priorities, schedules, responsibilities, and operational expectations.
• Maintain clear communication flow between the Senior Pastor, staff, ministry leaders, and departments as appropriate.
• Track important projects, deadlines, assignments, and follow-up items to ensure commitments are completed.
• Identify operational gaps, recurring problems, unnecessary inefficiencies, or breakdowns in communication and take appropriate action to correct them.
• Coordinate church wide calendars, major events, and operational details so that responsibilities are clear and execution is orderly.
• Support responsible budgeting and financial processes by maintaining appropriate administrative oversight, documentation, and accountability.
• Work with department leaders to address performance, communication, scheduling, policy, and execution issues before they become larger problems.
• Provide the Senior Pastor with concise, accurate updates regarding significant operational matters, unresolved issues, risks, and areas requiring a decision.
LEADERSHIP AND AUTHORITY EXPECTATIONS
The Church Administrator must be capable of exercising real administrative leadership. This person is expected to establish structure, communicate expectations clearly, hold people accountable, and address problems directly. The role requires the maturity to lead strong personalities without creating unnecessary conflict and the judgment to know when an issue should be resolved administratively and when it should be elevated to the Senior Pastor.

• Protect the Senior Pastor from avoidable operational distractions by solving problems at the appropriate level.

• Never allow titles, personalities, or informal habits to override established responsibilities, standards, or communication channels.
