The Administrative Assistant must be a mature believer who can respect confidentiality, relate well to people, and develop and maintain good administrative practices. The Administrative Assistant should be a member of an evangelical
church, have a faith commitment consistent with the membership vows of Grace, and be in agreement with Grace’s Statement on Marriage, Gender, and Sexuality.
Accountability: Accountable to the senior pastor as head of staff.
Responsibilities:
Church office
• Answer telephones and receive visitors to the office in a way that exhibits Christian hospitality when working on-site.
• Oversee equipment of the church office, including purchasing office supplies.
• Sort and distribute mail.
• Enter head counts for all services.
• Produce weekly attendance reports for pastors.
• Assist in maintaining the church management software (Breeze).
• Set out reserved seating signs needed for Sunday services.
Congregational communication
• Produce worship guides for weekly and special services.
• Coordinate with guest preachers on worship guide and scheduling.
• Assist Ministry Coordinator as needed in the production of the weekly email newsletter.
• Produce the semi-annual printout of church member information.
• Solicit and collect Annual Reports. Produce the packet of documents for the annual congregational meeting.
• Plan the yearly church calendar in coordination with leaders, staff, and ministry heads. Maintain the church calendar, both online and hard copy.
• Maintain content and arrangement of bulletin boards.
• Carry out printing, mailing, or emailing as requested by the pastors, session, or trustees.
