Job Description

Village Chapel is seeking a dedicated and dependable Operations Administrator to manage the day-to-day functions of our church office. This vital role is perfect for someone who is highly organized, trustworthy, and capable of maintaining the highest level of confidentiality. The ideal candidate will be a committed follower of Christ and demonstrate a servant’s heart through their administrative gifts.

The Operations Administrator plays a central role in the life and health of the church by ensuring the smooth operation of office administration, facilities, human resources, and finance. This individual will oversee church office functions and serve as a key point of contact for members, visitors, and vendors.

Primary Responsibilities:

Office Administration

• Provide a welcoming and professional presence at the church office by greeting visitors, answering phones, and responding to emails.

• Manage day-to-day office operations including scheduling, maintaining the church calendar, handling mail, and overseeing supplies.

• Support ministry staff by coordinating meeting logistics, taking notes, and managing follow-up communications.

• Train and lead administrative volunteers as needed.

Facilities

• Maintain compliance with government and insurance requirements (e.g., licenses, BWC).

• Coordinate with service providers, manage facility needs, and assist with church vehicle documentation.

• Handle procurement for office and ministry supplies.

Human Resources

• Support hiring and onboarding/offboarding processes in collaboration with the Operations Director.

• Maintain HR records, PTO tracking, and policy updates.

• Process bi-weekly payroll and serve as a liaison with the payroll company.

Finance

• Run bi-weekly staff/hourly payroll

• Process and track accounts payable and receivable in QuickBooks.

• Reconcile church accounts monthly and oversee the administration and benevolence budgets.

• Prepare monthly financial reports and assist with the development of the annual budget.

• Maintain accurate and up-to-date financial and HR documentation.

Qualifications & Skills:

• A Spirit-filled relationship with Christ and a heart to serve in ministry.

• High school diploma (required); additional relevant education or certification a plus.

• Prior experience in accounting, payroll, and office administration.

• Proficiency in QuickBooks, Microsoft Office 365, and general computer literacy.

• Ability to work independently, prioritize tasks, and exercise sound judgment.

• Strong interpersonal skills and a collaborative spirit.

• Experience in supervising staff and volunteers.
