Position Summary:
The Ministry Assistant provides advanced skills in secretarial/administrative support to the ministers of the church. The Ministry Assistant assists in the planning and execution of events sponsored by the church, including specific ministries.
Essential Duties:
1. Secretarial/administrative support - % of Time - 50%
- Accurately maintains ministry calendar; make necessary arrangements for appointments/reservations, meetings, seminars, conferences, or travel in a timely manner.
- Verifies and communicates ministry activities via the church calendar process.
- Prepares and proofreads correspondence, forms, reports, and other documents.
- Maintains and updates all standard forms and ministry literature.
- Orders ministry materials as appropriate; receiving, counting, and distributing appropriately.
- Maintains official records for ministries (medical releases, request background checks for volunteers, Ministry to Minors policy, etc.)
- Maintains/initiates correspondence, phone calls, email, etc. for ministry support in an appropriate format (visitor letters, newsletters, program information, postcards, scheduled events, etc.)
- Utilizes support staff/volunteers as a resource to aid with above duties and responsibilities as appropriate.
2. Ministry-specific activities & events - % of Time - 35%
- Provides efficient and professional secretarial/administrative support to ministerial staff and church ministry leadership for ministry-specific activities (camps, VBS, programs, etc.)
- Creates and maintains signups for ministry-related activities.
- Keeps informed and familiar with ongoing and special events of the church.
3. Website and Design - % of Time - 10%
- Creates and publishes materials as requested (publicity, promotional, worship service related, etc.)
- Provides graphic designs and layout assistance for all ministries.
- Creates/maintains ministry websites as requested.
- Creates/maintains social media accounts for ministries as requested.
4. Special Projects and Miscellaneous Duties - % of Time - 5%
- Maintains records for church weekday ministries as requested.
- Assists in problem solving for office activities.
- In the absence of ministers, exercises initiative and judgment in responding to problems or complaints promptly, courteously, or, if unable or unqualified to assist, promptly refers to the appropriate party.
- Performs other duties as assigned.
The physical demands and environmental factors listed below as well as attendance are also essential functions for this position.
Physical Requirements:
- Position involves prolonged standing, sitting, walking, reaching, twisting, pushing, pulling, kneeling, bending, talking, and listening.
- Lifting materials (up to 25 lbs)
Required Qualifications:
- Bachelor’s degree or equivalent combination of education and/or experience
- Proficiency with various forms of office software and applications (Microsoft Office Suite, Google Suite)
- Proficient with social media platforms and internet applications
- Proficiency with graphic/logo design, graphic manipulation
- Intermediate knowledge and experience with Adobe Photoshop
- General knowledge of office equipment and telephone systems
- High degree of discretion and integrity dealing with confidential information
- Able to work at a fast pace within a variety of settings and circumstances
- High attention to detail and organizational skills
- Strong interpersonal and telephone communication skills
- Excellent written, verbal and interpersonal communication skills
- Ability to work independently and as a team
- Ability to relate and work cooperatively with others
- Availability and willingness to work some early mornings, evenings, and weekends
- Willing to seek information, training, and resources as needed
Preferred Qualifications:
- Proficiency with Apple and Microsoft computers and church-related software
