POSITION: Administrative Director COMMITMENT: Full-Time
General Description
The Administrative Director manages internal support systems to ensure the church’s mission and strategic objectives are met. This includes oversight of finance, human resources, facilities, and organizational logistics. Reports to the Lead Pastor and supervises administrative staff.
Responsibilities
ADMINISTRATIVE & GOVERNANCE LIAISON
- Committee Liaison: Serve as the primary staff liaison to the Finance, Building/Grounds, Staffing committees and Leadership Council, attending all meetings to ensure alignment.
- Policy Stewardship: Serve as the central custodian for all official church policies (Bylaws, Financial, Facility Use, and Wedding/Funeral guidelines, etc.), ensuring they are organized, legally current, and accessible to staff and leadership.
FINANCIAL STEWARDSHIP & ACCOUNTABILITY
- System Integrity: Ensure the accuracy, legality, and transparency of all financial systems, including budget development, monthly reporting, and audit readiness.
- Financial Execution: Oversee essential financial tasks including payroll processing, ACH transactions, credit reconciliation, pension payments and year-end 1099 reporting.
- Resource Analysis: Provide the Finance Committee and church leaders with data-driven insights to ensure spending aligns with ministry priorities, guiding the budget process.
- Work alongside the Church Treasurer
SYSTEMS & INFRASTRUCTURE
- Institutional Logistics: Manage the church-wide calendar and facility usage policies to ensure equitable resource allocation across all ministries.
- Systems Administration: Serve as the primary administrator and staff trainer for church management software (Planning Center, etc.) and other digital operational tools.
- Project Management: Serve as a project management consultant for ministry leaders, helping translate vision into actionable logistical plans.
OPERATIONAL LEADERSHIP & PERSONNEL
- Departmental Supervision: Directly manage, coach, and evaluate the Facilities Manager, Communications Director, Ministry Assistant, and other administrative staff.
- Employment Lifecycle: Manage staff onboarding/offboarding, benefits, and logistics.
- Legal & Policy Compliance: Maintain personnel records, background screenings, and regularly update the Employee Handbook to ensure legal and best practices compliance.
- Personnel Strategy: Collaborate with the Lead Pastor and Staffing Committee on hiring, compensation, and staff development recommendations.
Requirements
- Spiritual Maturity: A growing relationship with Jesus Christ; full alignment with Wesleyan theology; and the mission, vision, and values of NLC.
- Financial Literacy: Strong proficiency in QuickBooks and the ability to manage complex nonprofit financial systems with high integrity.
- Operational Expertise: Proven experience in systems management, HR compliance, and the use of Planning Center (or similar ChMS).
- Diplomatic Leadership: Exceptional interpersonal skills with a proven ability to resolve conflict and manage competing departmental priorities with grace.
- Strategic Execution: Track record of leading teams and driving projects to completion in a professional environment.
- Minimum Standards: Supervisory experience in a church, nonprofit, or business office; bachelor’s degree; successfully pass criminal background check.
Accountability
The Administrative Director reports directly to the Lead Pastor. While this role provides logistical and systems support to the entire staff, direct supervisory authority is limited to the Facilities and Communications departments.
