Children’s Minister & Administrative Assistant
Status: Part-Time (25-30 Hours/Week) | Reports To: Lead Pastor
Job Summary
The Children’s Minister & Administrative Assistant provides spiritual leadership and oversight for the Kid Connection program (Birth–5th Grade) while serving as the clerical support for church-wide operations. This role requires a balance of relational ministry and high-level administrative precision.
I. Core Clerical & Database Responsibilities
- Database & Giving Records: Maintain the church database (Planning Center/Breeze) with 100% accuracy. Perform weekly entry of tithes and offerings into donor profiles and prepare quarterly/annual giving statements.
- Visitor Integration: Process physical and digital Visitor Cards every Monday. Enter new guest data and trigger the "First-Time Visitor" follow-up workflow (postcards, emails, and phone alerts).
- Church Bulletin Production: Manage the design, content collection, editing, and printing of the weekly worship bulletin. Ensure folding and distribution readiness by Thursday afternoon.
- Compliance Record Keeping: Maintain secure files for volunteer background checks and Ministry Safe certifications, ensuring all personnel are current and compliant with safety protocols.
II. Children’s Ministry Leadership
- Sunday Oversight: Direct all aspects of Sunday morning programming, including volunteer huddles, secure check-in procedures, and age-appropriate biblical teaching.
- Volunteer Coordination: Recruit, train, and schedule the rotation of teachers and assistants, ensuring all classrooms meet required safety ratios.
- Curriculum & Supplies: Select and prepare weekly lesson materials, crafts, and classroom resources; maintain an organized ministry supply inventory.
III. Weekly Schedule (30 Hours)
- Sundays (4 Hours): On-site ministry execution (8:30 AM – 12:30 PM).
- Weekdays (19 Hours): Main office hours focused Kid Ministry, data entry, giving records, and bulletin design.
- Flexible (7 Hours): Volunteer recruitment, curriculum review, and remote administrative tasks.
Required Skills & Qualifications
- Technical Proficiency: Advanced skills in Microsoft Office (Excel for giving reports, Word for bulletins) and church management software.
- Detail Oriented: Ability to handle sensitive financial data and guest information with total confidentiality and accuracy.
- Spiritual Maturity: A committed follower of Jesus with a passion for leading children and serving the local church.
