Executive Assistant to Senior Pastor

The Pastor’s Assistant will provide executive and secretarial support for the Pastor and present his office as an efficient and caring place of ministry. She/he is the gatekeeper and primary scheduler for the Senior Pastor and is expected to demonstrate loyalty and a positive spirit. She/he sets the tone for the Senior Pastor’s ministry.

ACCOUNTABILITIES

• Provide executive assistance and secretarial support for the Senior Pastor.

• Assist Senior Pastor with church communications, such as visitor and new member letters, phone calls, proofreading articles, and other related tasks.

• Handle confidential and sensitive issues discreetly.

• Provide friendly first face and warm attitude for those in the Senior Pastor’s office.

• Be the gatekeeper for the Senior Pastor’s office and align the schedule with ministry priorities.

• Maintain Senior Pastor’s schedule of meetings and contacts.

• Provide executive assistance and secretarial support for the other Pastors/Administrator when needed/requested.

• Provide administrative support for the Deacon Ministry of First Baptist, as well as any committee on which the Senior Pastor serves as staff liaison.

• Serve as administrator to the churchwide calendar including posting and approving events, annual creation of church / committee calendars, and Deacon calendars.

• Serve as funeral director, hosting church funerals and making arrangements for hospitality and other details.

• Coordinate with the Director of Communications on calendaring, social media posting, website updates, and the creation of forms/reservations for events initiated by the Senior Pastor’s office.

• Design Microsoft PowerPoint slides for teaching. Work with the communications director on implementation.

• Responsible for the maintenance of membership files and records of members.

• Train staff on proper use of Shelby Membership software. Review/ create membership workflows and implement efficiencies and new methods as appropriate.

• Create and/or run reports as needed by the Senior Pastor (new members, prospects, etc.).

• Provide research assistance for the Pastor as needed.

• Maintain Senior Pastor’s library, including books and materials.

• Other duties as assigned by the Senior Pastor.
