The primary purposes of this position include the following: The implementation of a yearly calendar of events and providing administrative support to the Director of Mission Outreach & Programming in order to lead adults and families to God and to foster within them a deeper relationship with Jesus Christ, through the example and intercession of Padre Pio.
This position is supervised by the Director of Mission Outreach & Programming. The immediate supervisor has the authority to direct the work of and evaluate this position. Comments are made through verbal and written instructions and by physical demonstration, as necessary. The Director of Mission Outreach & Programming may bring issues of concern directly to the General Manager or Executive Director if necessary.
This position presently serves as the supervisor to the Pilgrimage Coordinator and the Group & Event Assistant. It may also serve to supervise volunteers or vendors as necessary. In such cases, comments are made through verbal and written instructions and by physical demonstration, as necessary.
TASKS AND DUTIES
· Implement a comprehensive yearly calendar of events for adults and families that advances the mission of the National Centre for Padre Pio, weaving the life and spirituality of Saint Pio into every event. NOTE: While this position carries out the implementation of the calendar of events, it is the Director of Mission Outreach and Programming who handles the master-planning for the calendar of events.
· Serve as the administrative assistant to the Director of Mission Outreach & Programming. Duties include: Coordinating relic visits to parishes and other organizations throughout North America (includes coordinating with clergy and other parish and venue staff); handling his/her email and phone correspondence for visits and other engagements as assigned; assisting with packing and other preparations for his/her trips; communicating and coordinating with other Centre employees on his/her behalf; etc.
· Assist Director of Mission Outreach & Programming with planning and coordinating domestic and overseas group pilgrimages (currently one per year). Responsibilities include: Coordinating advertising efforts with Centre Communications staff and travel agents; coordinating with overseas contacts at pilgrimage sites as necessary (ex. staff in San Giovanni Rotondo); coordinating with pilgrimage chaplain; and other various related administrative duties.
· Continuously grow in personal knowledge of the life and spirituality of Padre Pio
· Offer a warm welcome, in the Franciscan tradition and the hospitality of Christ to all visitors, pilgrims, and event participants
· Exhibit creativity in understanding the specific learning styles of adults and children as well as the diversity of needs and interests
· Review books, periodicals, and media to remain up to date on best practices and resources available for the formation of adults and families
· Submit monthly Calendar of Events to fellow staff members including creating a promotional flyer for each event which will also be sent
· Submit monthly check requests to General Manager for various expenses, including Mass stipends
· Complete speaker authorization forms with accompanying documentation for all visiting speakers (clergy, religious, or lay) and submit in a timely manner to the Diocese of Allentown
· Plan and order lunches for visiting presenters and clergy
· Oversee, in conjunction with the Pilgrimage Coordinator, Letters of Good Standing for all visiting priests (including bishops) and deacons
· Maintain accurate records related to events and devotions, pilgrim groups, and visiting clergy
· Provide yearly report to the Executive Director including records of events and devotions, pilgrim groups, and clergy schedule
· In conjunction with Communications staff, assist with the marketing and promotion of all events and programs in order to elevate the presence of the National Centre for Padre Pio in the community, the Diocese of Allentown, and neighboring dioceses
· Supports the Pilgrimage Coordinator whenever necessary in welcoming groups and offering tours, especially when multiple groups are scheduled for the same day
· Open and close Spirituality Centre building on a regular basis, and when requested, the Museum and Gift Shop building on Saturday and/or Sunday
· Support the ministry of the resident chaplain
· Schedule deacons for select Masses and additional priests to serve as confessors or Mass celebrants when needed
· Schedule organist and cantor for Masses as necessary and collaborate with them on the selection of hymns
· In coordination with priest chaplain, serve as the primary sacristan for the National Centre which includes planning and setting up for Masses, Benediction, devotions, and all liturgical functions
· Liaison to the Office for Divine Worship in the Diocese of Allentown
· Complete Episcopal Liturgy Planning Sheets in a timely manner (when Bishop is Main Celebrant)
· Ensure liturgical vestments, altar linens, and sacred vessels are well-maintained
· Work with the Director of Mission Outreach & Programming to create a liturgically appropriate and welcoming environment within the Spirituality Centre building including the adornment of the Spirituality Centre and Our Lady of Grace Chapel for the Advent, Christmas, Lenten, and Easter seasons
· Understand the origin, mission and statutes of Padre Pio Prayer Groups
· Collaborate with the Spiritual Director of the Padre Pio Prayer Group in executing our monthly prayer group sessions at the National Centre
· Promote and oversee Flower Sponsorships and floral arrangement orders for the Spirituality Centre and Our Lady of Grace Chapel
· Share in the responsibility of praying the daily Rosary and Divine Mercy Chaplet
· Check on the light maintenance needs of the Spirituality Centre building and inform the Janitor and/or Facilities Manager of needed cleaning and light maintenance
· Light cleaning of areas of Spirituality Centre rooms (including chapel) as needed
· Collaborate with colleagues in offering team support whenever and wherever needed when feasible to do so
· Attend all staff meetings
· Refer to Volunteer Coordinator (i.e. Gift Shop Manager) when additional assistance is required beyond normal staff abilities
· Performs all other duties or projects assigned by supervisors
· Tasks and duties may change somewhat frequently and as necessary
MINIMUM REQUIREMENTS TO HOLD THIS POSITION
· Employee must have competence in oral and written skills for the purpose of communicating with coworkers and devotees.
· A thorough knowledge of the life and spirituality of Padre Pio and the history of the National Centre for Padre Pio is essential (this may be developed following hire, but employee must make a commitment to expediently developing such knowledge).
· Employee must be committed to ongoing learning related to various programs and events.
· Employee must be willing to interact with Centre pilgrims on an ongoing basis.
· Dedicated and practicing Roman Catholic who witnesses fidelity to Church teaching, especially in matters of faith and morals; employee must be willing and able to take an oath of fidelity to the magisterial teaching of the Catholic Church.
· Competence in public speaking
· Has had previous training as a sacristan and thorough knowledge of liturgical norms, or is willing and able to expediently develop these skills and knowledge base
· Takes a pastoral approach to challenges and difficulties
· Proficiency in the development, planning, and management of faith formation programs and events, or ability to become quickly proficient following hire.
· Should possess exceptional time-management and detail-oriented organizational and coordination skills
· Degree in Catholic Theology, Pastoral Ministry, or related field of study preferred (but not required)
· Solid technology and social media skills (Word, Excel, PowerPoint, Facebook, etc.) and an openness to learning new and ever-changing technologies
