Church Operations Coordinator (Part-Time)
Hours: 25 hours per week (hourly, non-exempt)
Schedule: Weekday, daytime hours
Reports to: Pastor
About the Role
We are seeking a Church Operations Coordinator to support the daily life and ministry of our congregation. This part-time position plays a key role in hospitality, communications, office administration, and building coordination, helping ensure our church is welcoming, organized, and running smoothly.
This is a coordinator-level role designed for a small congregation and is structured to fit within 25 hours per week.
Key Responsibilities
Hospitality & Office Support
- Create a welcoming and friendly environment for visitors, members, and staff
- Manage daily office operations including phones, email, mail, and building security
- Respond to general inquiries in a timely and hospitable manner
Communications
- Prepare weekly worship bulletins and slides, and a monthly e-newsletter
- Maintain the church website and social media (e.g., Facebook)
- Support communications and registrations for special events
- Prepare annual and synod-required reports
Building & Facilities Coordination
- Coordinate use of church space with outside groups
- Maintain office, workroom, and sacristy areas
- Coordinate maintenance and repairs (HVAC, lighting, snow removal, etc.)
- Communicate with custodial staff and the Property Team
- Order office and building supplies as needed
Office Administration
- Coordinate logistics for funerals, memorials, and weddings
- Maintain church calendar and membership records
- Maintain licenses for technology, livestreaming, and music copyrights
- Assist with nonprofit filings and required documentation
- Support finance processes and work with vendors as needed
- Assist with onboarding paperwork and background checks
- Other duties consistent with the scope and hours of the position
Qualifications
- Ability to provide in-office coverage during weekday, daytime hours
- Strong organizational and multitasking skills
- Ability to work collaboratively with staff and volunteers
- Self-motivated, dependable, and able to take initiative
- Proficiency in Microsoft Office; experience with Church Windows and Vanco preferred
- Experience with Canva, QuickBooks, website management, and social media preferred
Hours & Compensation
This is a part-time, hourly position (25 hours/week). Compensation is commensurate with experience and aligned with similar administrative and ministry support roles in small congregations. Work priorities are designed to be completed within compensated hours.
