Office Administrator Position @ NEWPORTNAZ Church
Position Overview
NewportNaz Church is seeking a dedicated Office Administrator to serve as the administrative backbone of our church operations. This vital role supports our pastoral staff and serves as the welcoming first point of contact for our congregation and community. The Office Administrator reports directly to the Lead Pastor and plays a crucial role in enhancing the effectiveness of our ministry team.
Key Responsibilities
Administrative Support
- Provide comprehensive secretarial services to the Lead Pastor and Staff
- Answer phones, take messages, and respond to emails in a timely, professional manner
- Serve as the primary point of contact for the public, greeting visitors with warmth and hospitality
- Oversee all administrative work within the church office
- Maintain confidentiality in all matters
Ministry Coordination
- Assist in organizing and coordinating various church ministries
- Coordinate building use for church activities, rental requests from outside agencies, and and other organizations using the building (PNW Coastal Academy, Safe families, etc)
- Help promote church events through posters, newspapers, graphics, and other materials
- Create sign-up sheets for lobby displays and congregational participation
- Assist with congregational care initiatives
Data Management & Communications
- Oversee administration of Planning Center (church data management software)
- Update member data, groups, and statistics in Planning Center system
- Reconcile all check-ins from Sunday morning services
- Maintain and oversee church directory
- Manage church calendars via Google Calendar
- Prepare and distribute weekly prayer sheets via email and social media
- Produce weekly printed bulletins
- Print sermon notes and materials as needed
- Work with Social Media manager for all digital creations
Record Keeping & Reporting
- Track and maintain church statistics and records for district submission
- Oversee annual pastor's report preparation
- Track attendance for various groups and activities
- Assist with preparation for annual church meeting
Facility & Operations Support
- Tidy lobby area each Monday morning
- Organize main office area & back room
- Coordinate with maintenance staff on facility needs and task prioritization
- Retrieve daily mail from PO Box
- Work closely with church treasurer regarding mailed tithes and offerings
- Oversee the Wedding Room & other areas designated by the Pastor
Ministry-Specific Duties
- Manage background checks and awareness training for youth and children's ministries
- Assist with funeral coordination and program creation
- Schedule prayer calls for Pastor before congregants' surgeries
- Oversee Welcome & Greeter team.
- Direct walk-in visitors on Sunday mornings
- Assist in preparation of programs for special events
Required Qualifications
Essential Requirements
- Must be a practicing Christian, active in church attendance
- High school diploma required
- Minimum 2 years of experience in administrative or related field
- Must pass background check
Technical Skills
- Working knowledge of PC & Mac computers
- Proficiency in Microsoft Office Suite (Word, Excel, Publisher)
- Proficiency in Mac applications (Pages, Numbers, Keynote/Slideshows)
- Basic understanding of internet and email systems
- Willingness to learn Google programs (Drive, Sheets, Forms, Slides, Calendars, Docs)
- Willingness to learn Planning Center software (Check-ins, People, Groups, etc)

Position Details
- Schedule: Mon-Thurs (6-7 hours per day) & 3 hours on Sunday FLEXIBLE if needed
- Reports to: Lead Pastor
- Starting Salary: 19+ per hour based on experience
- Employment Type: Hourly position
- Sick Time and Vacation: Available
